Lay-Up is a charitable organization whose mission is to equip youth with the confidence and life skills to be community leaders of tomorrow. Since 2013, Lay-Up has been running FREE leadership basketball programs in Toronto’s priority communities. We use high quality basketball training as a platform to deliver meaningful, customized off-the-court programming that will equip and inspire youth to overcome barriers in academia, life skills development and healthy living. Program Coordinator Job Description
Lay-Up is adding a Program Coordinator to our team to help execute our programming, curriculum development and community engagement strategies. The Program Coordinator should have administrative, community relations and programming experience and be comfortable working in a range of settings including an office, gym and out in local communities. The Program Coordinator should have a minimum of 2 years of experience in youth-based programming, ideally in a small, dynamic organization. The successful candidate will report directly to Lay-Up’s Executive Director and manage relationships with many of our external stakeholders including our partners, vendors, community outreach centers, program parents and, of course, participants. As a growing charity, we are looking for someone who can work both individually as well as in a team setting and thrives in fast paced, multi-disciplinary environments. Most importantly, the Program Coordinator should have a deep belief in the power of sport for development and enthusiasm for our mission of “developing community leaders of tomorrow”.

Responsibilities
The Program Coordinator will work together with Lay-Up’s Executive Director and Program Manager.

The successful candidate will:

  1. Lead Lay-Up programs by managing coaches, staff and community partners
  2. Help implement and enhance our basketball, off-the-court, and coach trainee curricula
  3. Work to grow Lay-Up’s programs and build the brand in local communities

Specific responsibilities of the Program Coordinator include:

A) Programming

  • On-site management of Lay-Up programs; lead in supervision of youth ages 6-15 as well as staff
  • Maintain Lay-Up health and safety standards at programs
  • Lead in the implementation of Lay-Up’s basketball, social, and coach trainee curricula; record feedback
  • Manage and digitize all data from programs including attendance, surveys, session reports, and pictures/videos
  • Coordinate with both programming partners and vendors to schedule and execute a seamless offering for participants
  • Lead communication with participants and parents outside of programs including outreach campaigns and reminders
  • Identify social media priorities and capture supporting content at programs (e.g., pictures, surveys, participant stories)
  • Help develop and train coaches, coach trainees and volunteers at programs

B) Curriculum Development

  • Help create customized basketball curricula based on NCCP principles for Lay-Up’s different types of participants
  • Use experience at programs to provide feedback to the Lay-Up team, and help alter the curriculum as necessary
  • Design schedule that meshes basketball and social curricula in a way that maximizes participant engagement and impact
  • Research and network with potential guests and off-the-court partners who can help Lay-Up execute social curriculum
  • Research basketball and non-basketball activities that can develop social or life skills (e.g., teamwork, communication, etc.)
  • Grow Lay-Up’s volunteer and coaching pipelines through admin, recruiting, interviewing, hiring and onboarding
  • Design new ways to measure impact of programs, and continually enhance survey and participant story strategies

C) Community Development

  • Maintain and regularly update Lay-Up’s registration and marketing materials
  • Ensure that Lay-Up’s community and registration information is updated online (Lay-Up and BWT websites)
  • Manage community contact database and schedule meetings and outreach appearances leading up to program
  • Execute community outreach strategy including: school appearances, community board postings (at housing units, community centres, etc.), working at community events, attending community meetings, and more
  • Lead the pre-program participant communication process; work with digital team to design e-mail campaign and Lay-Up volunteers to design a call campaign

D) Organizational Work

  • Attend semi-annual Lay-Up team meetings
  • Support Lay-Up executive team in any ad-hoc projects or analysis
  • Execute Lay-Up’s out-of-program participant prizes (e.g., taking participants to a Raptors game)
  • Provide executive team with on-the-ground data, content and program feedback to support grant applications

Skills & Requirements

  • NCCP Level 1 certification or higher
  • Proof of a recent Vulnerable Sector/Police Check
  • Access to a car is preferred; ability to get to different areas of the city is a necessity
  • Standard First Aid and CPR certification is required
  • Previous experience planning and coaching house league, skill development programs, and other non-competitive settings
  • Experience working with children/youth ages 6-14
  • Highly proficient in Microsoft Office (Outlook, Word, Excel) and ability to pick up new software and tools
  • Able to communicate effectively with youth, staff and parents while building relationships
  • Reliable, punctual, hard working, and a motivated self-starter who likes to build things from scratch
  • Proven track record of working with partners on behalf of an organization and the ability to build new relationships
  • Strong attention to detail, highly organized, good problem-solving skills, and an always positive and energetic attitude
  • Excellent verbal and written communication skills (ability to draft a professional and clear e-mail)
  • Customer service oriented and a positive brand ambassador across interactions with all Lay-Up stakeholders
  • Interested in meeting new people and speaking confidently in a small group setting

Time Commitment
Lay-Up runs after school programs and summer camps, which necessitates different time commitments based on the time of year:

After School Program (September-May): 25-30 hours per week
Lay-Up currently runs after school programs on Mondays, Wednesdays and Thursdays. On these days, the Program Coordinator is expected to work from 11:00 a.m. to 8:00 p.m. plus an additional 3-4 hours per week.

Summer Camps (June-August): 45 hours per week
During the summer season, the Program Coordinator is expected work Monday-Friday from 8:30 a.m. to 4:30 p.m. plus an additional 4-6 hours per week.

Compensation
This is a paid hourly position. The amount will be determined based on the experience of the candidate.
