About Ontario Basketball Association
Ontario Basketball is the governing body for basketball in the province of Ontario and a member of Canada Basketball. As the largest provincial basketball organization in Canada, OBA is a non-profit dedicated to the growth and development of basketball at all levels of the sport.
OBA oversees and delivers a range of leagues and competitions across the province, including the Ontario Basketball League (OBL), Ontario Scholastic Basketball Association (OSBA), and provincial championship pathways. These leagues provide structured, competitive opportunities for athletes at the grassroots, club, and high-performance levels, supporting thousands of participants across Ontario.
Position Summary
Ontario Basketball is seeking a highly organized and detail-oriented Coordinator, League Administration to support the delivery of the Ontario Basketball League (OBL), Provincial Championships, and OBL All-Star Game.
This role plays a key part in ensuring league operations run smoothly by supporting registration, scheduling, data management, and event logistics. Working closely with the Manager, League Operations and a team of coordinators, the successful candidate will contribute to delivering a high-quality experience for clubs, athletes, and officials across the province.
Key Responsibilities
League Operations & Administration:
- Support league registration processes, including setup and maintenance of divisions, age groups, and fees.
- Track and process refund requests, cancellations, and forfeits.
- Maintain accurate databases and spreadsheets, including schedules, team information, and operational tracking documents.
- Assist with league scheduling, updates, and distribution of information to stakeholders.
- Upload and verify game scores to ensure accuracy and timeliness.
Logistics & Inventory:
- Track and manage league inventory, including medals, equipment, and event materials.
- Coordinate shipping and distribution of program materials to venues and stakeholders.
Event & Camp Support:
- Provide administrative and on-site support for OBL events, Provincial Championships, and the OBL All-Star Game.
- Assist with event setup, logistics, and day-of operations.
- Support the planning and delivery of Ontario Basketball camps and clinics
- Assist with camp registration, participant communication, and roster management
- Help facilitate basketball drills, skill development activities, and game play alongside coaching staff
- Ensure the safety, supervision, and well-being of all participants
- Assist with event and camp setup, logistics, and day-of operations
- Maintain an active presence during programs, including standing, running, and supporting on-court activities
- Support additional Ontario Basketball events as required.
- Availability to work evenings and weekends is required during OBL season (October to May).
Financial & Administrative Support:
- Assist with invoice processing, including reviewing, organizing, and preparing documentation for approval.
- Support financial tracking and reporting processes in collaboration with the Manager, League Operations.
Stakeholder Support:
- Provide administrative support in responding to inquiries from clubs and stakeholders regarding schedules and league logistics.
- Maintain accurate and up-to-date information across digital platforms, including schedules, scores, and standings.
Team Collaboration & Reporting:
- Support coordinators with day-to-day operational tasks as needed.
- Track tasks and provide regular updates on progress, timelines, and challenges.
- Assist with post-season and post-event reporting, including data collection and feedback analysis.
Qualifications & Skills:
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office (Excel, Teams, Outlook); experience with registration systems is an asset
- Basic proficiency in Microsoft Excel for tracking and data management; knowledge of or interest in financial processes (e.g., invoicing, basic accounting) is considered an asset
- Ability to work both independently and as part of a team
- Experience with Canva, marketing tools, and newsletter platforms is an asset, but not required.
